Syncplicity + Microsoft. Work better. Together.

Enterprises today have had no shortage of options when it comes to content collaboration platforms (CCP), formerly enterprise file sync and share (ESFS). In recent years, the explosion of the cloud has increased that number dramatically as cloud-based storage and collaboration solutions saturate the market. And when it comes to cloud office solutions, there is no one company more ubiquitous in the enterprise than Microsoft. Today, eighty percent of the Fortune 500 is on the Microsoft Cloud, which means many of those companies are using Office 365 —management and collaboration platform — to the tune of over 60 million monthly active user and rising.

Microsoft Office 365 offers a lot, some would argue maybe everything a company needs – cloud productivity apps --  such as Word, Excel, and PowerPoint; collaboration services like Skype and OneDrive Business, their file storage service in the cloud. Office 365 offers great capabilities across many applications for one to one collaboration and saving files the the cloud.   

Challenge #1: When do you need something more?
One of the nice things about Office 365 is the breadth of solutions that it provides. When it comes to content collaboration or cloud file sharing some will use OneDrive for storing their Office 365 documents and sharing with a team member.

But, there are times when it’s not enough. – when the organization has complex requirements and use cases.   Whether it’s a mobile workforce – like a pharmaceutical company that need secure access to files from any device, anywhere or a manufacturing company that needs to  securely share large files seamlessly, continuously with third parties.  It’s not just about the experience, but what the experience is hiding from the user – ensuring that security requirements are met, helping ensure data sovereignty across regions, integrating with legacy infrastructure, or where the data is stored – on-premises, public or a private cloud.

Challenge #2: Where’s the data?
One of the most common challenges across large organizations is file management. As companies evolve from traditional enterprises that relied on on-premises systems to a digital company moving more and more into cloud, the amount of complexity around file management increases. As cloud-only solution such as Dropbox and Box entered the market, we started to see a commoditization of file storage.

This has created an endless number of options for departments and teams to choose from — creating a tangled mess of departmentally-driven solutions that don’t align with IT security requirements, create silos that slow productivity, and add unnecessary complexity to the simple task of sharing a file. When was the last time, you received a notification in your inbox to accept a file share from someone, only to have to download an application or sign up for an online service simply to access the shared file?

Syncplicity abstracts the complexities of file storage that you can focus on what matters most...the content. Another piece of feedback we’ve heard from our customers on their experience with OneDrive is that it designed for saving and working with Microsoft files in the cloud. As a result, users start to look for workaround and alternative solutions to get what they want ranging from email (if the files are small enough to send) to extreme measures like mailing whole hard drives with sensitive information.

Additionally, one of the biggest fears with Microsoft extending its reach into the cloud is the notion of vendor lock-in. Before the cloud and a number of productivity tools at your disposal, there was Microsoft Office. That was the only game in town. Fast forward to today, we are seeing companies who have invested in the Microsoft Cloud trying to not fall into old habits and are trying to keep their options open for the sake of agility and flexibility.

AMPLIFY Syncplicity - Summer 2018 Release

Over the last few months the Syncplicity team has released new features to improve the end-user experiences, aligning to our one key pillars of Innovative User Experiences and Advanced Data Protection. The new features released can help organizations to improve productivity, increase collaboration and have been important milestones for paving the path to future releases.

New Search feature (Restricted Availability)

The new Secure Enterprise Search feature, our secure enterprise search, brings search capability to security conscious customers while not overexposing you to increased security threats and compliance risk. As an example, a competitor, has had a search feature available but it exposes their customers to risk by storing Personally Identifiable Information (PII) in their US Public Cloud regardless of where the customer and user are located. It also indexes the first few pages of characters of every document and stores it in the Public Cloud.

Our Secure Enterprise Search feature is being rolled out in phases starting with this Restricted Availability phase for customers in the US Privacy Region (Orchestration). Full text search will be available for customers storing files in US Cloud only. In subsequent releases, we will offer it in the EU Cloud and then on-premises.

How Search works?
If you are looking for a file or a folder, it can be cumbersome without a search facility. Using our powerful new search capability, users can now search across their entire Syncplicity account- across all files and folders - using keywords and phrases to find the content they are looking for. Using the web browser, users can perform both simple and advanced searches with the ability to narrow the search results based on filters. The powerful search engine searches not only filenames and file metadata, it also searches for text within the files (full-text search). Text search will only return results if the files are stored in the US Cloud.

Search requires that we surface file metadata like the filename, which could contain Personally Identifiable Information (PII). PII is the foundation of the General Data Protection Regulation (GDPR) established to ensure that companies protect EU citizens’ PII and can comply with EU citizens requests to be forgotten.

As part of our next phase, when we will offer Search in the EU Cloud, all metadata is stored in the EU providing customer value by ensuring PII stays within regional boundaries and helping companies maintain data sovereignty.

In the future we will also offer the Search capability with the option of storing the indexes on-premises.

New version of Windows Desktop v5.5

We continue to improve the user experience on the desktop. Now users can get insights on the status of synchronization of files on their desktop. This is also known as “Sync Status”. When working with files on Desktop, users rely on the “green” checkmark which indicates that latest versions have been synced, that the latest version is available to others and across all screens of the user. Sync Status now allows users to understand the state of their content synchronization on their desktop, giving users an easy way to see what is being synchronized and what is not, and then providing a course of action for resolution. If a user cannot resolve their synchronization issue, they have the option to download the log and send it to IT or Syncplicity to help in its resolution.

New version of Mac Desktop v5.5

With this new version of our MAC client, we have support for streaming files from the cloud (SyncDrive). This feature has proven to be compelling for users and teams sharing large folders and files with their teams and with external partners. Users can now also have offline access to files and folders when on the go with additional controls for files in the cloud including favorite files and folders. This allows users without network connectivity to have the ability to view and edit files while offline.

Creating Office documents from Web with Office 365:

We have further improved our integrations with Microsoft Office 365 in the ability for users to initiate creation of Office documents from their Syncplicity account on Web. This feature is an addition to the existing integration for viewing and editing as well as concurrent editing support from the web.

Customers can leverage their existing O365 subscription to create office documents:

Word (.docx)
Excel (.xlsx)
PowerPoint (.pptx)

The 'Create file' icon is displayed only when:

Microsoft Integration is Enabled for user and owner
 User has write access to the folder
 User is inside a folder or sub folder

On document save/auto-save, the file is stored in Syncplicity.

Enhanced Folder Insights and Notifications on the Web
With the last release, users gave us great feedback regarding the need to provide additional visibility and notifications about who re-shared my content? What was deleted this week? Your personal digest will have the answers for you.

We have further enhanced this functionality, users now have more visibility into their folders and files with notifications and a digest (daily, weekly, monthly – users select) that summarizes activity. At a quick glance see what content has been shared, re-shared, changed and deleted. Additionally, we have added personalization on notification settings based on folders. Some of the personalization includes:

Navigation directly to the file or folder from the digest email
The ability to remove duplicate file/folder events
Personalizing of colors and layout

For free and trial accounts, we have limited number of emails that will be sent to a user’s account

New version of iOS now available with integrations to iOS Files app:
As many of you are getting used to using your files app on you iOS devices, you can now access Syncplicity files right from the native files app on your iOS devices. Additionally, you can take advantage of the native resolution support for better user experience and optimized layout taking advantage of the screen size on iPhone X and other iPhone and iPad models.

We just released v3.7.12 of DataHub (DH) which offers:

Maintains original file timestamp when copying/migrating file to/from Syncplicity

URLs in DataHub that reference back to Syncplicity/Axway for support and product updates
